VENDOR CONTRACT

REGISTRATION • On Saturday, December 30, 2017 the 2017 Capital City Kwanzaa Festival will be held at the new Dewey Gottwald Center, 2301 West Leigh Street. Yes! We are remaining downtown! In its twenty-seventh year, and with your participation, this festival is the largest of its kind in the state. The festival’s hours are 2 – 9 p.m. This event is a program of the Elegba Folklore Society, Inc., Richmond’s Cultural Ambassador.

⦿ MERCHANDISE VENDORS

► The base fee for EARLY BIRD MERCHANDISE VENDORS for one single space is $125 and includes one (1) table and two chairs. NOT EARLY BIRD? The base fee is $150.

The EARLY BIRD fee for each vendor is $85.00 if two merchandise vendors share a space or for a single vendor half-space. NOT EARLY BIRD? The base fee is $105.

► The base fee for EARLY BIRD MERCHANDISE VENDORS for one double space is $225 and includes two (2) tables and two chairs. NOT EARLY BIRD? The base fee is $250.

The EARLY BIRD fee for each vendor is $135, if two merchandise vendors share a double space. NOT EARLY BIRD? The base fee is $155.

► The fee for ELECTRICAL SERVICE is $25 per single outlet. Basic electrical service consists of one (1) 110 volt, 20 amp outlet. Expanded electrical service consists of two (2) outlets at a cost of $45. Power strips will not be allowed. If an illegal power strip is discovered during the festival’s periodic electrical inspections, a $50 fine will be assessed and collected, and the power strip will be held until the festival closes. We will provide lighting options in your confirmation email.

► You are required to include an additional, refundable clean-up deposit of $50. If the areas you use are returned to their original state, your deposit will be returned within one week after the end of the event.

⦿ FOOD VENDORS

► The fee for FULL SERVICE FOOD VENDORS is $325.
► The fee for SNACK SERVICE FOOD VENDORS is $185.

► The fee for electrical service is $75 per quad box. This service consists of four (4) 110 volt, 20 amp outlets. Power strips will not be allowed. If an illegal power strip is discovered during the festival’s periodic electrical inspections, a $50 fine will be assessed and collected, and the power strip will be held until the festival closes.

► You are required to include an additional, refundable clean-up deposit of $100. If the areas you use are returned to their original state, your deposit will be returned within one week after the end of the event. Please come self-contained and plan a compact set-up. Only THREE (3) food vendors will be placed. Each food vendor must have a Class ABC and a Class K fire extinguisher.
Elegba Folklore Society presents this event to embody the spirit and intent of the Kwanzaa holiday season and the importance of African value systems. Accordingly, we strongly urge you to maintain this integrity and theme in the items you offer. The festival reserves the right to remove vendors who fall outside of these guidelines. Please be specific with the description required on the contract form. This will also help us make the most advantageous space assignment for you. Music and video vendors are not allowed. A violation may result in your removal from the festival and your fee will not be refunded.

⦿ EARLY BIRD VENDORS!

Your reservation must be received by December 1. NOT EARLY BIRD? Your reservation must be received by December 15. Merchandise vendor walk-ups will be required to pay an additional $25 to be placed as space allows. Limited spaces will be reserved on a first-come, first-served basis. Our receipt of your credit card payment, money order, bank draft or certified check and the attached contract reserves your space. No personal or company checks will be accepted. Act now; spaces fill quickly. No refunds will be given except to vendors who are not accepted. There will be no exceptions to this reservation procedure. You will receive a confirmation e-mail.

⦿ SET-UP

Please come self-contained with the hardware you require beyond the tables and chairs included in your fee, and provide your own table covering. Again, you may not include CDs, DVDs or other sound/music as part of your set-up. This is disturbing to other vendors and clashes with staged performances.

You will receive a check-in time when your participation is confirmed. You must accept the space that has been assigned to you. Check-in will conclude at 1:00 p.m. Please be set up by 1:30 p.m. Food vendors must be set up for inspection by 1:00 p.m. If you miss this inspection you may not be allowed to participate.

Vendors who have not arrived by 1:00 p.m. will participate at the festival’s discretion and may, therefore, forfeit all fees paid. Allow enough travel time for any problems that may occur.

If you are a merchandise vendor, your space may have a total of two (2) people working this event (you plus one). If you are sharing a booth, each vendor works solo. Food vendors may have four (4) workers (you plus three). Please plan to check in together. When you check in, you and your additional workers will be given credentials that identify your business and help facilitate your movement in and out of the area. You may purchase tickets for additional members of your party at this time. The cost is $7 general admission, $6 for students (ages 12-18) and $6 for seniors (age 65 and over). Children under 12 are admitted free of charge. Tickets for members of a group of at least 10 are $5. This group discount is only available at check-in. The discount will not be available after the festival begins.

You will receive parking and load-in details in your confirmation email. Space breakdown begins at 9:00 p.m. at the festival’s end. Please do not begin your breakdown until this time.

Spending the night? The Clarion Hotel is the festival’s host hotel. It is located at 3207 N. Boulevard. The Festival’s rate is $59. (Upgrades are available). Parking is free, and each room has a refrigerator and a microwave. Mention the Capital City Kwanzaa Festival’s room block when making your reservation at 804/359-9441.

From the North:
 Take I95 South to Boulevard, Exit 78. At the bottom of the ramp, turn right on Boulevard. (Here you will see the host hotel, The Clarion.) Pass the baseball Diamond on the left and Greyhound on the right. Turn left on Leigh Street at the light at Movieland. Turn right on DMV Drive and right to the loading bays. 
Please use the loading bays for load-in and check-in.

From the South:
 Take I95 North to Boulevard, Exit 78. At the bottom of the ramp, turn left on Hermitage Road. Pass the baseball Diamond on the right. Turn right on Leigh Street at the light. Turn left on DMV Drive and right to the loading bays. Please use the loading dock for load-in and check-in.

From the East:
 Take I-64 West to the 5th Street/Downtown Exit 190. Follow 5th Street to Leigh Street and turn right. Travel several blocks on Leigh Street crossing Belvidere Street, Lombardy Street at Maggie Walker’s Governor School and Hermitage Road. Turn left on DMV Drive and right to the loading bays. Please use the loading dock for load-in and check-in.

From the West:
 Follow I-64 East, which merges with I95 South, to Boulevard, Exit 78. At the bottom of the ramp, turn right on Boulevard. Pass the baseball Diamond on the left and Greyhound on the right. Turn left on Leigh Street at the light at Movieland. Turn right on DMV Drive and right to the loading bays. Please use the loading dock for load-in and check-in.

► CLARION HOTEL • 3207 BOULEVARD • RICHMOND, VA 23230

From the North & West:
Take Exit 78, Boulevard. At the bottom of the ramp, you will see the hotel in front of you. Turn left on to Boulevard. Make the first right into the hotel’s parking lot.

From the South:
Take Exit 78, Boulevard. At the bottom of the ramp, you will see the hotel in front of you. Turn right and then left into the hotel’s rear parking lot.

From the East:
I-64 West merges with I-95 North and exits to the right just prior to Exit 190. Follow I-95N to take Exit 78, Boulevard. At the bottom of the ramp, you will see the hotel in front of you. Turn right and then left into the hotel’s rear parking lot.

► DEWEY GOTTWALD CENTER to CLARION HOTEL

From the load-out area, turn left on DMV Drive. Turn left on Leigh St. Turn right on Boulevard, at Movieland, and the Clarion Hotel will be located on the right.
